How to Add an Email Signature to Outlook 2003-2016

To add your htmlsig signature to an older version of Outlook (2003 to 2016) on Windows, create a blank signature in Outlook, then replace its .htm file with the signature file you download from htmlsig.

These steps are only for legacy Outlook versions. If you use the new Outlook for Windows, Microsoft 365 or Outlook on the web, follow how to add a signature to Outlook for Windows and web instead.

Step 1: Download your signature file

  1. Open your signature in htmlsig from the Signatures page.
  2. Click Download. A file called signature.html is saved to your computer.

Step 2: Create a blank signature in Outlook

  1. In Outlook 2010 to 2016, go to File > Options > Mail and click Signatures. In Outlook 2003 or 2007, go to Tools > Options > Mail Format and click Signatures.
  2. Click New, name your signature (for example "htmlsig") and click OK.
  3. Leave the signature blank, click OK, then close Outlook completely.

Step 3: Open your signatures folder

Use either of these methods:

  • In Outlook's mail options, hold Ctrl and click the Signatures button to open the folder directly.
  • Or press Windows key + R to open the Run box, paste in the path for your version of Windows and press Enter:
    • Windows Vista, 7 and later: %userprofile%\AppData\Roaming\Microsoft\Signatures
    • Windows XP: %userprofile%\Application Data\Microsoft\Signatures

Step 4: Replace the signature file

  1. In the folder you'll see three files with the name you chose, ending in .htm, .txt and .rtf. If you can't see file extensions, turn them on (in Windows 7, go to Tools > Folder Options > View and uncheck Hide extensions for known file types).
  2. Rename your downloaded signature.html file so it has exactly the same name as the .htm file, including the .htm extension (for example htmlsig.htm).
  3. Move it into the signatures folder and replace the existing .htm file.
  4. Open Outlook. Your signature is now ready to use.
